How to reduce an image for email
Start with Compress Image at quality 75. If the file remains too large, resize its longest side before compressing again. Keep the original because JPEG compression discards detail.
OCR or text extraction?
OCR reads pixels in photos and scans. Direct text extraction reads characters already stored in a document. Use OCR Image for screenshots and photographed pages; use the Office text tools for DOCX and PPTX files.
HEIC and JPEG explained
HEIC commonly stores iPhone photos efficiently, while JPEG opens in a wider range of sites and applications. Conversion improves compatibility but does not improve the source image's detail.
